Step-by-step guides

Using your dashboard

Everything you can do from your own dashboard: your work, your profile, your website and your sales.

Email on your own domain

How to set up an address on your own domain, and how to send from it using the mail programme you already use.

Getting started

Is Online Gallery really free for artists?

Yes. Your portfolio is free forever: profile, up to 10 artworks, series, and a contact form with spam screening. Paid plans add your own website, more artworks and direct selling — but free stays free.

How do I create my page?

Register, add your name and a short bio (our AI can help you write it), and upload your first works. Most artists are live within 15 minutes.

What makes a good artwork upload?

Photograph in daylight next to a window, keep real proportions (no crops), and add a title, size and year. Good tags help collectors find you — the AI suggests them automatically.

How do I make my artist profile stand out?

Three things buyers always look at: a clear profile photo (people buy from people), a bio that tells your story in your own voice — where you come from, what drives your work — and consistent, well-photographed artworks with complete details (size, medium, year, price). Profiles with a complete bio and 8+ works get noticeably more attention. Our OG Academy has free guides for each of these.

How do artworks and artists get featured on the homepage?

A member of our team curates the homepage every week — the featured works, the artist spotlights and the “new artworks” row are all chosen by a real person, not an algorithm. The single best thing you can do to be picked is keep your profile and images up to date and sharp. You can also request an interview at /en/interview to tell your story.

Selling

How does selling work? Do you take commission?

Never — 0% commission, always. Add a payment link (Mollie, Stripe or PayPal) to any work and buyers pay you directly. No payment link? Buyers reach you via the contact form and you arrange it together.

How do I create a payment link?

With a free Mollie account (EU, requires business registration) or Stripe/PayPal.me elsewhere, you create a payment link per artwork in minutes and paste it in your dashboard. The Buy button appears automatically.

How should I ship sold artwork?

You arrange shipping directly with the buyer. Use rigid packaging or a tube for canvas, insure anything valuable, and include a signed certificate — collectors love it. Agree on who pays shipping before you send a payment link.

How should I pack a sold artwork for shipping?

Corner protectors, glassine or acid-free paper against the surface, bubble wrap around the whole work, and a sturdy box or wooden crate for larger pieces — never let the work move inside the box. Add a "fragile" label and your certificate of authenticity inside. Always ship with track & trace and insurance for the sale value; the small extra cost buys you and your buyer peace of mind.

Do I need to register as a business (KvK) or charge VAT to sell my art?

Rules differ per country. In the Netherlands, occasional sales as a hobby artist usually do not require a KvK registration, but regular sales with profit intent do — and the small business scheme (KOR) can exempt you from charging VAT below a revenue threshold. Check with your local tax authority or an accountant for your situation. You can start selling on Online Gallery either way, for instance with a personal PayPal.

Can I be interviewed or featured on Online Gallery?

Yes. We regularly publish artist interviews in our News section and share them in the newsletter — it is a great way for collectors to get to know the person behind the work, and it is free for artists on Online Gallery. Request one at /en/interview: tell us a few lines about your work and why now. Our curator reads every request and, if it is a fit, we set up the interview and write it up. You always approve it before it goes live.

Buying

Am I buying directly from the artist?

Yes — every purchase and every conversation is directly with the artist, with no commission added on top. That is the whole idea.

Can I see how an artwork looks on my wall?

Yes! Every artwork page has "View in room" (to-scale preview in different interiors) and on your phone "View in AR" hangs the work on your actual wall at true size.

Prices are shown in my currency — is that exact?

Prices marked with ≈ are converted at today's exchange rate for convenience. You pay the artist in their own currency; your bank handles the conversion.

Your website

What do I get with the website tool?

A real website: 30 designs, your own fonts and colours, your signature as a logo, a blog, workshop signups and automatic SEO. It stays in sync with your portfolio — upload once, it appears everywhere.

Can I use my own domain name?

Yes, with Premium. Search your name in the tool, claim it with one click and the first year is included. Registration, connection and SSL are fully automatic.

Do I need technical skills?

None. The step-by-step setup takes you through theme, name and colours in a few minutes, with a live preview of your own site next to every choice.

How do people find my website on Google?

Every Online Gallery website gets automatic SEO: clean page titles, descriptions and structured data for search engines. You can speed things up by using your own domain, writing an original bio (search engines love unique text), and sharing your website link on social media and in your e-mail signature. Patience matters too — new domains typically take a few weeks to settle into Google.

Can I move my domain away from Online Gallery?

Yes, always — your domain is yours. Go to Dashboard → Website → My domains and click "Transfer token". You get the authorisation code instantly and the domain is unlocked; give the code to your new registrar and the transfer starts. No waiting, no e-mails needed.

Email

Can I get an email address on my own domain?

Yes, with Premium. Once your domain is connected you get an address like info@yourdomain.com, so people write to your own name instead of a free webmail address. Ask us and we set it up for you.

Where does mail to that address arrive?

By default we forward it straight to the inbox you already use, so nothing changes in how you read your mail. Prefer a real mailbox with its own webmail and storage? Let us know and we will set it up that way instead.

How do I send from my own address using Gmail?

In Gmail, go to Settings, Accounts and Import, and choose Add another email address. Enter your address, then pick sending through SMTP with server smtp.migadu.com on port 465 with SSL, your full email address as the username and the mailbox password we gave you. Gmail sends you a confirmation code and you are done.

Gmail offers to send through its own servers. Should I pick that?

No, always choose the SMTP option with the settings above. If you send through Gmail servers, your mail is not signed for your domain and many providers will treat it as suspicious and file it as spam. It is one checkbox, but it makes the difference between arriving and disappearing.

I already have an address on my domain with my old provider. Does it keep working?

Yes, but it has to move across. Tell us which address it is and whether you want the old messages to come with it, and we handle the switch. Your address stays the same, only the server behind it changes, and we keep the old mailbox alive until everything has arrived.

What are the server settings for my mail programme?

Incoming over IMAP: imap.migadu.com, port 993, SSL. Prefer POP: pop.migadu.com, port 995, SSL. Outgoing: smtp.migadu.com, port 465, SSL. Your username is always your full email address.

Workshops

How do workshop signups work?

With the Workshops add-on (€4,99/month) you create workshops or recurring classes with dates and capacity. Visitors sign up on your site; full dates get an automatic waitlist; you confirm with one click and participants get an e-mail — with your payment link if you add one.

Do you take commission on workshops?

No. Participants pay you directly. The add-on is a flat monthly fee, cancel any time.

Account & billing

Can I cancel my plan any time?

Yes. Cancelling takes effect at the end of your billing period, and your free portfolio always remains. Yearly plans save about two months.

I need more than 10 artworks but I'm not ready to upgrade.

Add extra artworks in bundles of 10 for €1,99 a month each, straight from My plan. From three bundles, Plus is the better deal.

How do I delete my account?

You can delete your account and all your data from your dashboard at any time. Your own domain (if any) remains yours — we help you transfer it.

Safety & security

How do I recognise phishing e-mails pretending to be Online Gallery?

All official e-mail from us comes from an address ending in @onlinegallery.art — never from Gmail, Outlook or a look-alike domain. We will never ask for your password, bank details or ID by e-mail, and we never send payment links for "fees" or "verification". Unsure about a message? Do not click anything and forward it to info@onlinegallery.art — we will tell you if it is real.

A buyer wants to pay more than the asking price or use their own "shipping agent". Is that safe?

No — this is the most common scam targeting artists. The pattern: an enthusiastic buyer overpays by cheque or fake payment confirmation, then asks you to forward the difference to a courier or agent. The original payment later bounces and your money is gone. Real collectors pay the asking price through your payment link and use normal shipping. When in doubt, ask us first.

What should I do if I clicked a suspicious link or shared details?

Act quickly: change your Online Gallery password right away (and on any site where you reuse it), enable two-factor authentication on your e-mail, and contact your bank if you shared payment details. Then let us know via info@onlinegallery.art so we can watch your account and warn other artists about the scam.

Is my payment information safe on Online Gallery?

We never hold your money or your card details. Buyers pay you directly through your own payment link or PayPal — Online Gallery is not in the payment flow at all. That also means: if anyone claims to be "Online Gallery payments" asking for bank access, it is a scam.

How does Online Gallery check that artworks are real?

Every image that is uploaded goes through an automatic check. An AI model looks at the picture itself: is this a photograph or scan of a physical work (canvas texture, edges, a frame, a wall), or does it show the signs of an AI-generated image? Works that score high are flagged and looked at by a person before they stay online. We also run a reverse image search to see whether the same picture already exists elsewhere on the internet under another name — copied work is taken down. None of this is perfect, which is why we say: look, ask, and use your own judgement too.

Are profile photos checked as well?

Yes. Profile photos are run through the same reverse image search. A portrait that turns out to be a stock photo, or a picture of someone else taken from another website, is flagged and reviewed. Profiles that cannot be trusted are not approved.

What happens to messages sent through the website?

Messages to artists and to us are screened before they are delivered. We check whether the sender is genuine and whether the message follows a known scam pattern (overpayment, "my shipping agent", links to fake payment pages). Messages that fail the check are not delivered — the artist never sees them. Real messages go straight through, usually within a minute.

What should I keep in mind when buying?

Screening keeps most bad actors out, but stay alert — especially with expensive works. Talk to the artist first: ask about the work, where it is, how it will be shipped and insured. Look at their profile: real artists have a history, a place, other works, often exhibitions. Pay via the artist's own payment link, never by bank transfer to an account you cannot verify, and never to a third party. For a large purchase, agree the details in writing before paying, and if anything feels off, ask us before you pay — we answer.
